If you only automate one thing, make it lead handling. Every enquiry, whether from your website, ads, WhatsApp or social media, should:

  1. Be saved automatically in one place, such as a CRM or a Google Sheet
  2. Trigger an instant acknowledgement to the customer
  3. Notify the right person on your team
  4. Create a reminder if nobody follows up within a set time

This prevents the most expensive problem in small businesses: enquiries that simply get forgotten.

Every automation should earn its place. Before launching, decide how you will measure success, then check the numbers after a few weeks:

  • Response time: how quickly customers now get a first reply compared with before
  • Hours saved: time your team no longer spends on the task each week
  • Lead capture: the share of enquiries now saved and followed up, rather than lost
  • Hand-over rate: how often the chatbot passes conversations to a person, which shows where its knowledge needs improving
  • Customer feedback: complaints or confusion that point to answers that need fixing

If an automation doesn't save time or improve the customer experience, simplify it or switch it off. The goal is a business that runs more smoothly, not more technology for its own sake.

Common mistakes to avoid

  • Automating a broken process. If the underlying process is messy, automation just makes the mess faster. Fix the process first.
  • Launching without testing. Try every scenario, including unusual questions and mistakes, before customers do.
  • No human fallback. Customers should always be able to reach a person.
  • Forgetting maintenance. Prices, policies and services change, and your chatbot's knowledge must change with them.
